Terms & Conditions

A. Payments from Delegates

1. All invoices for the Food Safety Summit 2023 (FSS23) will be managed by Food Risk Forum (Pty) Ltd trading as Food Focus OR Anelich Consulting based on vendor selection at the payment stage of registration.
2. All presented quotes are valid for 10 (ten) days only.
3. All fees and/or costs are excluding VAT (unless otherwise specified).
4. Proforma Invoice is presented on registration and immediately payable on Paygate with your credit card or an EFT.
5. Payment terms of the registrations are based on full payment upfront.
6. Your registration will only be confirmed, on the receipt of proof of full payment.
7. All registrations will close on 17 May 2023. All payments must reach our account by 22 May 2023.
8. Attendance fees include tea/coffee, a light lunch and access to the Cocktail Evening for the first 150 Delegates who have paid in full.
9. Foreign payments will include bank charges

B. Cancellations and refunds from Delegates

10. All cancellations must be submitted in writing to the Project Manager at claudia@foodsafetysummit.co.za.
11. All refunds will be issued after the Summit.
12. Refunds (all cancellations will incur a 35% handling fee):
    1. More than 2 months before event date = 100% of registration fee (18 January to 28 February 2023).
    2. Less than 2 months before event date = 65% of registration fee (1 - 31 March 2023).
    3. Less than 1 month before event date = 40% of registration fee (1 - 30 April 2023).
    4. Less than 30 days before event date = 0% of registration fee (1- 29 May 2023).

C. Payments from Sponsors/Exhibitors

13. Invoice will be issued on receipt of Application Form and 50% is immediately payable to secure your sponsorship.
14. The balance of payment is due by 1 May 2023.
15. All invoices must be settled by 15 May 2023.

D. Cancellations and refunds from Sponsors/Exhibitors

16. All cancellations must be submitted in writing to the Project Manager at claudia@foodsafetysummit.co.za.
17. 50% Of the contract price is forfeited if cancellation is received up to 3 months before the Summit.
18. 100% Of the contract price is forfeited if cancellation is received less than 2 months before the Summit.

E. Sponsors and Exhibitors

19. FSS23 reserves the right to deal exclusively with all invited service providers.
20. Invitations will be at the discretion of the FSS23.
21. Certain categories of sponsors will be charged for their attendance.
22. Exhibition space and sponsorship will only be confirmed once the application form has been completed and 50% payment has been received.
23. Exhibition space is allocated on a first come first serve basis.
24. All exhibitors will be given a shell scheme stand with a name on the fascia, table, two chairs, one fluorescent light and a plug point.
25. Completion of the registration form is considered a binding contract.
26. Marketing activities will only take place after payment is received (refer to Section C )
27. Should any offerings in the packages not be utilized, no refund for those benefits will be offered.

F. Exhibition layout

28. FSS23 reserves the right to change the exhibition floor layout if necessary.
29. FSS23 reserves the right, in unforeseen circumstances, to amend or alter the exact site of the location of the exhibition and/or stand and the Exhibitor undertakes to agree to any alteration to the site or the space re-allocated by FSS23.

G. Students

30. Students must provide certified proof of registration at a higher learning institution for 2023.

H. Communication

31. By registering for the Food Safety Summit 2023 event, you agree to be contacted by Food Focus, Food & Beverage Reporter, Anelich Consulting, and sponsors.

I. Speakers

32. Speakers are subject to availability.
33. The programme is subject to change.
34. FSS23 reserves the right to deal exclusively with all invited speakers.
35. Certain speakers may present virtually, and all efforts will be made to have them available for Q & A sessions.

J. Delegates

36. Food Risk Forum (Pty) Ltd and Anelich Consulting reserve the right of admission.
37. Only Delegates that have provided proof of payment will be confirmed as registered.

K. Overdue accounts

38. Food Risk Forum (Pty) Ltd and Anelich Consulting reserve the right to remove advertisements, banners, from the website for overdue/unpaid accounts.
39. 10% Interest will be levied on overdue accounts older than 60 days.
40. Unpaid accounts will be handed over to debt collection after 90 days.

L. Liability

41. FSS23 accepts no responsibility for any damages if the Summit does not take place due to any obstacle or hindrance outside the control of FSS23, which FSS23 could not reasonably have foreseen when accepting the registration form and which FSS23 could not have avoided at a reasonable effort or cost.
42. Such obstacles and hindrances include, but are not limited to, the outbreak of war, civil riots, governmental or other obstacles for the freedom of travel, union actions, natural disasters, fire, flooding and any other circumstances that fall within the meaning of the above.
43. Neither FSS23 nor any other party associated with the Event (nor any of their agents and/or representatives) will, under any circumstances, be liable for any injury, loss and/or damages, whether special, general, direct, indirect and/or consequential, suffered by the Delegate, his/her family members, employees, invitees, guests and/or customers, arising directly and/or indirectly from the Event. All warranties (whether express or implied) relating to the Event are excluded. The Food Safety Summit 2023 accepts no liability for any loss and/or damages whatsoever that the Delegate, his/her family members, employees, invitees, guests and/or customers may suffer in connection with and/or arising directly and/or indirectly from the Event or otherwise (including loss of profit, loss of business and/or any other type of economic loss). The Delegate hereby indemnifies FSS23 and any other party associated with the Event against all claims of whatsoever nature that may be made against FSS23 and/or such other party arising directly and/or indirectly from the Event. The Delegate is responsible for taking, and is encouraged to take, appropriate insurance cover in connection with the aforegoing.

M. Photography and videography disclosure

44. The Delegate hereby:
    1. consents to FSS23 and/or their representatives taking photographs and/or video recordings at the Event of all Event related activities and parties, including the Delegate;
    2. permits FSS23 and/or their representatives to use and distribute such footage, which may feature images of the Delegate, in advertising, social media posts, promotions and/or other such marketing endeavours and/or documents of FSS23 and/or their representatives, whether in hardcopy, electronically or otherwise;
    3. waives his/her right to inspect and/or approve the photographs and/or video recordings and/or other finished products incorporating such graphics, including copies that may be created and/or appear in connection therewith;
    4. consents to FSS23 owning the copyright in such photographs and/or video recordings and/or derivatives thereof, with the Delegate waiving any claims based on the usage thereof and/or the works derived therefrom.

Online Payment Terms & Conditions

1. Detailed description of goods and/or services
   Food Risk Forum T/A Food Focus is a business in the food industry that provides digital media content, advertising and support services.
2. Delivery policy
   Subject to availability and receipt of payment, requests will be processed within 5 working days and delivery confirmed by way of email. (for e.g. booking number / booking voucher etc. and must mention the use of courier and/or postal services and associated costs, if applicable.)
3. Export restriction
   The offering on this website is available to South African and international clients only.
4. Return and refunds policy
   The provision of goods and services by Food Risk Forum T/A Food Focus is subject to availability. In cases of unavailability, Food Risk Forum T/A Food Focus will refund the client in full within 30 days. Cancellation of orders by the client will incur a 35% administration fee.
5. Customer privacy policy
   Food Risk Forum T/A Food Focus shall take all reasonable steps to protect the personal information of users. For the purpose of this clause, "personal information" shall be defined as detailed in the Promotion of Access to Information Act 2 of 2000 (PAIA). The PAIA may be downloaded from: http://www.polity.org.za/attachment.php?aa_id=3569 .
6. Payment options accepted
   Payment may be made via Visa, MasterCard, Diners or American Express Cards or by bank transfer into the Food Risk Forum T/A Food Focus bank account, the details of which will be provided on request.
7. Card acquiring and security
   Card transactions will be acquired for Food Risk Forum T/A Food Focus via PayGate (Pty) Ltd who are the approved payment gateway for all South African Acquiring Banks. DPO PayGate uses the strictest form of encryption, namely Secure Socket Layer 3 (SSL3) and no Card details are stored on the website. Users may go to www.paygate.co.za to view their security certificate and security policy.
8. Customer details separate from card details
   Customer details will be stored by Food Risk Forum T/A Food Focus separately from card details which are entered by the client on DPO PayGate’s secure site. For more detail on DPO PayGate refer to www.paygate.co.za.
9. Merchant outlet country and transaction currency
   The merchant outlet country at the time of presenting payment options to the cardholder is South Africa. Transaction currency is South African Rand (ZAR).
10. Responsibility
    Food Risk Forum T/A Food Focus takes responsibility for all aspects relating to the transaction including sale of goods and services sold on this website customer service and support, dispute resolution and delivery of goods.
11. Country of domicile
    This website is governed by the laws of South Africa and Food Focus chooses as its domicilium citandi et executandi for all purposes under this agreement, whether in respect of court process, notice, or other documents or communication of whatsoever nature.
12. Variation
    Food Risk Forum T/A Food Focus may, in its sole discretion, change this agreement or any part thereof at any time without notice.
13. Company information
    This website is run by Food Risk Forum Pty Limited (private company) based in South Africa trading as Food Focus and with registration number 2015 / 392665 / 07 and Adele Krogh, Bridget Day (Directors).
