TERMS AND CONDITIONS OF SPONSORSHIP APPLICATION AND CONTRACT

Exhibition & Sponsorship Policy:

• The Food Safety Summit 2024 (FSS24) organisers reserve the right to deal exclusively with all the invited service providers.
• All costs are exclusive of VAT.
• Invitations will be at the discretion of the FSS24 organisers.
• Exhibition space and sponsorship is only considered confirmed once the exhibitor’s application form has been completed, received by the FSS organisers and 50% deposit payment has been received by the due date on the invoice.
• Completion of the application form is considered a binding contract.
• If 50% deposit is not received by COB on the due date of the invoice, the exhibition space will be released.
• Exhibition space is allocated on a first come first serve basis.
• All exhibitors shall be given a shell scheme stand that will include:

Name printed in black capital letters on fascia

One rectangular table

Two chairs

One fluorescent light

One plug point

• If you wish to build a custom stand, you are requested to notify the organisers.
• All custom stand builders are required to submit stand designs and plans for sign off by the organisers and safety officer.
• If you wish to have custom panels/fascia, you are requested to notify the organisers.
• All marketing activities will take place as follows:

In the month payment is received, if this date occurs before 15^th of the month

In the following month if payment is received on/after 15^th of the previous month

• All marketing activities not used prior to signing up as a Sponsor OR prior to payment will fall away and cannot be used.
• No refunds will be offered for benefits not used as part of your package.
• All advertisements and/or editorials for the Food & Beverage Reporter will be published in the June 2024 – Food Safety edition.
• The final targeted number of delegates for Summit Bag inserts is 300. Any leftover items will be given back to your exhibition representative(s).
• An exhibitor registration allows one person per ticket to attend to your exhibition stand and to attend only the tea/coffee breaks and lunches on Days 1 and 2 of the Summit. A name tag is also included. The ticket does not include entrance to the conference talks and does not include a Summit Bag on registration. Dietary requirements are not included – any special meals will be at an additional cost to the Sponsor and/or Exhibitor.  

Terms of Payment:

• 50% deposit invoice will be issued on receipt of the application form.
• Final balance invoice will be issued on 1^st May 2024.
• All invoices must be settled within 30 days, non-receipt of payments may result in release of reserved items.

Cancellation Policy:

• All cancellations must be made in writing to the FSS24 organisers at catherinet@turnersconferences.co.za and the following cancellation policy will be enforced:
• 50% of the sponsorship price is forfeited if cancellation is received up until 3 months before the start of the Summit.
• 100% of the sponsorship price is forfeited if cancellation is received up until 2 months before the start of the Summit.

Exhibition Layout:

• The organisers reserve the right to change the exhibition floor layout if necessary. The organisers reserve the right, in unforeseen circumstances, to amend or alter the exact site of the location of the exhibition stand and the exhibitor undertakes to agree to any alteration to the site or the space re-allocation by the organisers.

Liability:

• The FSS24 organisers accept no responsibility for any damages if the sponsored event is not performed because of any obstacle or hindrance outside the control of the FSS24 organisers, which the FSS24 organisers could not reasonably have foreseen when signing this contract and which the FSS24 organisers could not have avoided at a reasonable effort or cost. Such obstacles and hindrances include, but are not limited to, the outbreak of war, civil riots, governmental or other obstacles for the freedom of travel, union actions, natural disasters, fire, flooding and any other circumstances that fall within the meaning of the above.
